Who is responsible for your data

Each event site (for example, a cook-off's registration site) is operated by the event organizer. The organizer decides what information to collect and how it is used; PitSentry processes that information on the organizer's behalf. For questions about a specific event's use of your data, contact that organizer.

What we collect

• Registration information you enter: team or business name, contact name, email, phone, city and state, campsite or booth selection, category and add-on choices.
• Ticket purchases: buyer name and email, and the tickets bought.
• Contact form submissions: name, email, subject, and message.
• Technical data: IP address, browser type, and pages viewed, used for security, rate limiting, and diagnostics.

Payments

Payments are processed by Stripe on the organizer's own Stripe account. PitSentry never receives, stores, or has access to card numbers. Stripe's handling of your payment data is governed by Stripe's privacy policy.

How we use information

• To register you for the event, assign your campsite or booth, and confirm your order.
• To send transactional messages: confirmations, receipts, registration notices, and event-day reminders by email or text.
• To let the organizer run the event: rosters, check-in, setup lists, and reports.
• To keep the platform secure and prevent abuse.

We do not sell personal information. We do not use it for advertising.

Cookies

We use a session cookie to keep you signed in during registration and in the team dashboard. We do not use advertising or cross-site tracking cookies.

Service providers

We use Stripe (payments), SMTP2GO (email and SMS delivery), Cloudflare (network and security), and Amazon Web Services (hosting). Each processes data only as needed to provide their service.

Retention

Registration and order records are kept for the event and subsequent years so returning teams can be offered their prior site. Organizers may ask us to delete records; individuals may ask the organizer or us to delete their information, subject to records we must keep for payment or legal reasons.

Your choices

You can update your team's contact information through your registration link or by contacting the organizer. You can opt out of non-transactional messages at any time.

Children

Youth divisions are registered by an adult coach or sponsor. We do not knowingly collect information directly from children under 13.
